Advertised Summary Job Description: The Project Coordinator will provide programmatic and general administrative support for the Division of Infectious Diseases Administrative Office.
The Project Coordinator will work with the Division Administrator and key faculty members on matters related to a large NIH-funded Clinical Trial Unit grant. This will include managing communication between the grant PI, collaborators and research staff, setting up meetings, assisting with budget preparations for current budget and new submissions, preparation of progress reports in accordance with sponsor requirements. Assist the Division Administrator on developing and distributing clinical productivity and performance reports to the Division Chief and clinical faculty members.
The Project Coordinator will provide administrative support for the Infectious Diseases Fellowship Program under the direction of the Fellowship Program Director. This will involve coordinating all administrative aspects of the Fellowship Program's didactic curriculum, establishing the schedule for weekly conferences, monthly research seminars, journal clubs, fellows' didactic sessions and other special educational events. The candidate will ensure seamless flow of communication between the Fellowship Program Director and the clinical and post-doctoral fellows with respect to didactic sessions, clinical schedules, clinical and research requirements. He/she will manage Fellowship Program's compliance with ACGME, CME and other requirements including tracking evaluations, duty hours, and conference attendance. He/she will maintain communication with the GME office about all aspects of fellowship education and training. He/she will coordinate the annual fellowship recruitment process including webpage development, application review, interview scheduling and communicating with faculty and applicants. The individual will also assist with the development and distribution of course materials for the Microbiology/Infectious Diseases course under the direction of the Course Director and assists with medical student rotations.
General administrative responsibilities will include but are not limited to front-desk phone coverage, front-desk reception, mail receipt and distribution, scheduling meetings, initiating and tracking facilities/telecommunication and IT requests, ordering supplies, processing invoices through ARC, Pcard purchasing, filing, scanning and copying. Performs additional duties as needed.
General Minimum Qualifications: Requires a bachelor's degree or equivalent in education, training and experience, plus two years of related experience.
Additional Specific Minimum Qualifications: Master's degree would substitute for experience. Strong analytical, writing and verbal communication skills. Computer proficiency with excellent data management and data analysis skills.
