The University of Notre Dame (ND.jobs) is accepting applications for a Administrative Assistant-Safety Coordinator.

The primary focus of this position is to coordinate and manage the safety program for the Institute for Structure and Nuclear Astrophysics (ISNAP). The individual will also provide support to the various members of the lab including faculty, staff, students and visitors. The administrative assistant will work closely with Risk Management & Safety and other Notre Dame departments to meet the safety objectives for the lab including the university's laboratory safety validation program. The individual will also assist with any other lab or office duties as needed. Strong written and oral communication skills required. Ability to multi-task and be self-directed is a must. Proficiency with word processing and spreadsheets needed. Experience with internal ND programs such as buyND, AIM, ComplyND and TravelND is preferred. Typical tasks and duties include but are not limited to the following.
Record, exchange and track all the radiation badges for the NSL, QuarkNet, physics department.
Keep a record of visitors to the lab and ensure they are aware of all safety related issues.
Assign necessary safety trainings to all lab personnel within the ComplyND system.
Assist users of the lab in creation of all safety related documentation.
Maintain and develop web resources for safety related pages of the ISNAP.
Maintain the inventory of all safety related products.
In charge of all purchasing for the NSL via buyND or Procard and ensure that all items have needed safety related documentation.
Maintain the inventory of all Standard Operating Procedures (SOPs) for activities within the NSL.
Maintain an inventory of the PPE supplies at all times for personnel and visitors.
Serve as a primary contact person between NSL and RM&S.
Answer the main phone line for the NSL.
Request work orders.
Maintain accurate record of key distribution for the NSL.
Minimum Qualifications: Associates degree or up to 3 years of college or technical school.Exceptional organizational skills required.
Preferred Qualifications: Associates or Bachelors preferred. Excellent verbal and written communications skills. Ability to multitask. Two to three years of office experience.
