Rutgers, The State University of New Jersey is seeking a part-time Medical Education Events Assistant for the Office of Education at the Rutgers Robert Wood Johnson Medical School.
The Medical Education Events Assistant provides technical and administrative support for undergraduate medical education, student affairs, and admissions events and projects. This position is responsible for moving supplies, autoclaving glassware, tracking paperwork, assisting with group interview timing, assisting with basic life support courses, setting up medical equipment, updating excel files, using marketplace, answering phones, setting up rooms, and other tasks in various areas to support current projects/events.
Among the key duties of this position are the following:
Prepares paperwork, mannequins, course completion e-cards, and supplemental equipment for the Basic Life Support for Healthcare Providers Course for the AHA Community Training Center.
Provides support for ongoing courses and labs by assisting responsible staff (including microbiology lab and maintaining cultures).
Monitors timed activities by providing directions and using a stop watch to convey timing (e.g., for OSCEs or interviews or other educational events). Assists the admissions office during interview days and the admissions cycle.
Supports Kessler Teaching Lab activities by opening/closing classroom walls, distributing and collecting laptops, distributing and collecting medical equipment and models, moving tables, etc.
Works with staff in various Office of Education units (student affairs, registrar, admissions, teaching labs, education) to cover for shortages and assist on special projects. Tasks include but are not limited to proctoring, data entry, filing, using marketplace, working with excel sheets, etc.
Support the Office of Student Affairs and Registrar by creating POs, managing conference attendance reimbursements, entering grades, mailing rosters, filing, and updating data.
Required Knowledge, Skills, and Abilities:
Applicants must thrive in a busy office working on a team and able to handle multiple projects simultaneously.
Must be professional in all interactions with students, staff, faculty, and visitors including phone and e-mail.
Able to perform hands-on work of moving mannequins, equipment, small tables, and setting up rooms.
Ability to proactively problem solve and follow through on tasks and projects.
Must have demonstrated teamwork and communication skills.
Experience involving administrative assistance in an educational institution.
Experience with word processing and spreadsheet software and require willingness to learn.
